From Manual to Automated.
H2OiQ specialises in helping organisations reduce water usage, improve energy efficiency, and drive down utility costs. Their team of engineers conducts in-depth site surveys, producing detailed reports that outline savings opportunities in water consumption, temperature control, and carbon output.
Until recently, these reports were generated entirely by hand, often requiring up to 60 individual reports per week, manually compiled from complex spreadsheets and disconnected data sources. Alongside this, H2OiQ had no dedicated CRM system in place, meaning client activity, site history, and operational output were stored informally or scattered across documents. This made it difficult to track project progress, measure team performance, or revisit past work with clarity. The lack of a central system created inefficiencies, duplication, and missed opportunities for insight.
To streamline operations and lay the groundwork for a future commercial offering, H2OiQ needed a platform that could automate the reporting process, structure their data, and provide better visibility across client engagements. This meant importing data from existing systems, managing complex cascading calculations, and generating custom, professional-grade PDF reports, all from a unified, intelligent backend.

Working closely with H2OiQ’s team of engineers, we developed a custom platform that could accurately reflect the intricacy of their reporting system while radically reducing the manual labour required to operate it.
The platform connects with third-party data tools (such as Configr) to ingest field data, which is then processed through a smart system of interdependent calculations. These calculations, which were previously handled in unwieldy spreadsheets, are now fully structured within the platform, allowing for better data integrity, repeatability, and speed.
A key focus was automated PDF generation. We introduced customisable templates that adapt to the unique data of each report, supporting both branded output and tailored formatting. Behind the scenes, intelligent validation, preprocessing, and sequencing ensures that every report meets H2OiQ’s high standards for accuracy and clarity, all triggered with a single click.

Behind the Build.
The technical foundation of the H2OiQ platform was designed to handle a uniquely complex challenge: parsing and processing highly detailed, interdependent data from multiple sources, then transforming it into structured, accurate, and customisable outputs.
Key technical features of the PoC included:
- Third-Party Integration (Configr):
The system connects directly with H2OiQ’s existing third-party software platform (Configure), importing raw data collected during on-site surveys. This live link ensures that all calculations and outputs are grounded in the most up-to-date information, removing the need for manual exports and uploads. - Intelligent Calculation Engine:
One of the most technically demanding aspects was replicating the logic of H2OiQ’s extensive spreadsheet system within a more stable, transparent framework. We created a flexible calculation engine capable of handling over 500 data points, with support for multi-step, dependent operations that reflect real-world logic, not just static formulas. - Dynamic PDF Generation:
The platform supports fully customisable PDF exports using a templating system designed for H2OiQ’s reporting needs. The PDF generator dynamically inserts data, formats outputs, and applies logic-based content display rules all without requiring human intervention after the initial setup. - Validation and Preprocessing Pipelines:
To maintain accuracy and data integrity, we implemented validation layers and preprocessing steps before any data is passed into the reporting engine. This ensures all figures are clean, properly formatted, and consistent with expected ranges before being calculated or displayed. - Modular Architecture for Scalability:
The system is built on a modular backend that will support future features, including white-labelling, real-time dashboards, and API integrations. Each core component, data ingestion, processing, reporting is separated for maintainability and expansion. - User-Defined Calculation Control:
Engineers using the platform can adjust how specific data is processed through a user interface that allows them to apply rules and conditions to the reporting logic, giving them control without requiring code-level changes.
This highly structured, technically mature approach provides H2OiQ with a solution that is not only more efficient and accurate but also robust enough to grow into a full-fledged SaaS product in the next phase of development.
